Managed IT & Security for Multi-Location Dental Practices in the Bay Area

One IT standard across every location.

Carter Systems IT helps multi-location Bay Area dental groups standardize employee access, devices, security and onboarding across every office — while working alongside your existing dental IT provider when needed.

Already have a dental IT company? You don't have to replace them.

Many multi-location practices already have an IT provider — often a good one, usually based somewhere else. We can work alongside them.

Carter Systems IT handles employee access and accounts, endpoint projects and deployments, new office openings, onboarding and offboarding, documentation, vendor coordination and Bay Area onsite work — while your current provider continues to own your practice-management system, imaging and server infrastructure.

You don't have to hand anyone your practice-management database on day one to get help with the things that are actually breaking.

What breaks when a practice becomes a group

One office is manageable. Three or five is a different operational problem, and it usually shows up the same way:

  • A hygienist works Tuesdays at one office and Thursdays at another, and has a different login at each.
  • Someone left four months ago and still has an active account somewhere.
  • Every location has slightly different hardware, bought at a different time, from a different vendor.
  • Front desk staff don't know who to call — the IT company, the software vendor, the phone company, or whoever set up the imaging sensor.
  • Access is granted by whoever is around when the new hire starts, and nobody has a list.
  • A workstation goes down in an operatory with a patient in the chair, and the person who can fix it is two thousand miles away.

None of these are exotic technical failures. They are what happens when IT grows one office at a time.

One employee. One access standard. The right access at every location.

An often-overlooked part of multi-location dental IT.

Employee lifecycle

When an employee leaves Friday, their work accounts should not still be active Monday. We build a repeatable offboarding process so access to the systems in scope is removed, company devices are accounted for, and the change is documented.

Identity and access

When a hygienist moves between locations, access shouldn't be recreated from scratch at every office. Roles, accounts and permissions should follow an intentional standard — with multi-factor authentication in place and a current record of who can reach what.

Device and security standards

Consistent protection, patching and configuration across all locations, rather than a different setup per office depending on when it opened and who set it up.

Think a former employee may still have access?

Pick one recent departure and we'll walk through how access was removed across your locations and systems. We'll look for unclear ownership, forgotten accounts, shared credentials, device gaps, and places where the offboarding process depends on someone remembering what to do.

No system access is required for the initial review.

Additional capabilities

Vendor management

One point of coordination for internet, phones, practice-management software, hardware, imaging and everyone else your offices depend on. Your office manager shouldn't have to work out which company to call.

Security awareness

Ongoing training and phishing simulations for your staff, because phishing and stolen credentials remain common ways attackers gain access.

Co-managed support

All of the above alongside your existing dental IT provider, or on its own.

We understand the dental environment

Front-desk workstations and operatory workstations are not the same machine with different stickers on them.

We support the IT environment around practice-management platforms such as Dentrix, Open Dental, Eaglesoft, Denticon and CareStack, along with the workstations, networks, servers and vendor relationships those systems depend on.

Dental environments can also include digital imaging, sensors, CBCT systems and intraoral scanners, along with on-premises servers that remain business-critical. Our role is to manage the IT infrastructure those systems depend on and coordinate with the specialized vendors who support the clinical equipment itself.

We also plan networks around the reality that imaging files are large, operatories can't wait, and a slow morning schedule costs real money.

Local onsite support when remote isn't enough

Remote support solves most things. It doesn't stage or replace an operatory workstation, set up a new office, or stand in the server closet during a cutover.

We're in the Bay Area, and onsite support is part of our service model when remote support isn't enough. During a build-out or expansion we coordinate cabling and network work alongside your contractors and equipment vendors.

Security-conscious IT for dental environments

We build practices around multi-factor authentication, managed access, endpoint protection, managed backups, user lifecycle management and documentation — the operational controls that make a practice defensible.

One IT standard across every location.

You don't have to replace your existing dental IT company to improve how employee access, devices and security are managed across your offices.

Start with one recent offboarding

Tell us about a recent employee departure and which locations were involved. We'll walk through how access was removed and where gaps may remain. No employee name or system access required.

Talk about co-managed support

Already have a dental IT provider? We can talk about what we'd handle alongside them — employee access, devices, new office openings and Bay Area onsite work — and what stays with them.
